How we work

Six stages. Three tracks. One team.

Here is what an engagement with us actually looks like, what you get at each point, and what we will need from you.

Team workshop at a whiteboard

The six stages

01

You find out where you really stand

An honest read on your business: whether leadership is genuinely aligned or just agreeable, whether your operations can absorb change right now, whether your team has the appetite and the base skills, and whether your systems and data can support what you want to do. This is not a ten-question quiz. It is a structured assessment, and it is the one part of our process where the answer might be not yet. If it is, we will tell you, and we will tell you what needs to be true first.

What you get

A clear picture of your readiness, the specific gaps holding you back, and what has to be addressed before anything is built.

02

You get clear on the problems worth solving

Not an AI wish list. The actual constraints on the business: the bottleneck that caps your throughput, the manual work nobody owns, the cost sitting in plain sight that everyone stopped noticing years ago. Most of what we surface here has nothing to do with AI. That is useful information too.

What you get

A shortlist of the problems genuinely worth money to solve, with the scale of each one quantified rather than asserted.

03

You see how work really gets done

How work actually moves through your business. Not the version in the process document, the real one, including the workarounds people built to cope, the spreadsheet that holds a critical step together, and the handoffs where things reliably go missing. This is where our platform does most of the work. Where different people describe the same process differently, we treat that disagreement as information rather than smoothing it over. It is usually the most valuable thing we find.

What you get

A clear map of how your business really runs, and specific evidence of where time and money are leaking.

04

You get a redesigned way of working

Work rebuilt around what people and AI each do well. Then, before we recommend anything new, we activate what you already own, because most businesses are using a fraction of what they already pay for. New tools only where the existing stack genuinely cannot do the job.

What you get

Redesigned workflows, a full picture of untapped capability in your current stack, and a recommendation for anything new that has to be justified against it.

05

You get a sequence, not a wish list

Ordered by what it is worth, what it costs, and what your team can realistically absorb. Quick wins early, because momentum is a real asset and scepticism is the default. Harder changes staged so nobody is dealing with three of them at once.

What you get

A sequenced roadmap where you know what is next, why it is next, and what it is worth.

06

You get it working

Where the three tracks run hardest, and where most consultancies hand you a document and leave. We build and deploy. We pilot in one real part of the business before going wide. We train your team inside their own workflow. We rewire the procedures and measures around the work so the new way is the official way. And we measure the result against the numbers set in the previous stages.

What you get

Systems live and in use, your team working the new way, governance in place, and results measured against what you set out to fix.

What we need from you

If you really want this to work.

Team

Hours, not weeks. Our platform handles the capture asynchronously and around their schedules. Pulling your people off their jobs to explain their jobs is how transformation projects earn their reputation.

Management

Real engagement from the start, and a willingness to be told something you would rather not hear. This is the biggest ask and the one that most determines the outcome.

Leadership

Review the outcomes of each stage and lock in the decisions to be taken forwards.

Timelines

A typical engagement runs about three months.

A typical Aidoptiv engagement runs for approximately three months, from readiness assessment through to live implementation, training, governance, and measured results. The exact timeline depends on scope, operational complexity, and how much change the team can absorb alongside day-to-day work.

Where it moves is with scope and absorption capacity: how much you are changing at once, and how much your team can take on alongside their actual jobs. We would rather stage something properly than compress it and lose the adoption.

We will give you a real timeline after the first stage, when we know what we are dealing with. Anyone who gives you one before that is guessing. After that, most clients continue with us on an ongoing basis, because the technology keeps moving.

Technology decisions don't come first.
