Aidoptiv is an AI adoption consultancy based at Block B-B58-033, Sharjah Research, Technology and Innovation Park (SRTIP), Sharjah, United Arab Emirates. This policy explains how we collect, use and protect information when you visit our website, use our client dashboard, or engage us for consultancy services.

For information you give us directly (such as enquiries and account details), Aidoptiv is the data controller. For business and employee information you share with us during an engagement, you remain the owner of that data and we process it on your behalf, under the terms of our engagement agreement.

We handle personal data in line with the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021) and, where it applies to you, the EU and UK General Data Protection Regulation.

a. Personal information

• Name, email address, phone number, job title and company name
• Any details you provide through forms, consultations, or the client dashboard

b. Business information

When using our consultancy services, you may share:

• Workflow documentation and process descriptions
• Organisational structure and team details
• Tool and software inventory
• Business performance data relevant to assessment
• Documents uploaded to your client dashboard

c. Information about your team

To understand how work really gets done, we may gather input from members of your team. This can include names, roles, responses to interviews and questionnaires, and, only where agreed in advance, session recordings or transcripts. As the client, you are responsible for letting your team know that this information is being shared with us for the purpose of the engagement.

d. Usage and technical data

• IP address, browser type, device information
• Pages visited, interaction time and preferences
• Cookies and similar technologies (see section 8)

We use collected data to:

• Deliver and improve our AI consultancy services
• Conduct workflow assessments and generate recommendations
• Communicate with you about your project, updates, and support
• Personalise your dashboard experience
• Analyse platform performance, security, and usability
• Ensure account security and prevent misuse

We rely on one or more of the following grounds: performing our contract with you, our legitimate interest in running and improving our business, your consent (for example, for non-essential cookies or marketing), and compliance with legal obligations.

Aidoptiv uses artificial intelligence to analyse workflows and identify automation opportunities, research and recommend tools and integrations, and generate reports, implementation plans, and training materials.

• We do not use your business data to train AI models. Where we use third-party AI providers, we use services whose terms prohibit them from training on the data we send.
• We share only the information needed for the task, and remove or minimise personal details where practical.
• We do not make decisions about individuals, such as your employees, based solely on automated processing.

We use industry-standard security practices including:

• Encrypted data storage, in transit and at rest
• Secure communication channels (HTTPS)
• Access controls and authentication layers
• Regular security reviews

Only authorised team members can access sensitive information, and they are bound by confidentiality obligations. If we become aware of a data breach that affects your information, we will notify you without undue delay and, where required, the relevant authorities.

We may share your information with:

• Service providers: third-party tools that help us deliver our services, such as cloud hosting, AI model providers, scheduling, communication and payment processors
• Professional advisers: lawyers, accountants and auditors, under a duty of confidentiality
• Legal requirements: if required by law or to protect our rights
• Business transfers: a successor, if Aidoptiv is involved in a merger, acquisition or sale of assets, with this policy continuing to apply

We do not share your business data with other clients, competitors, or any third party for commercial purposes. We do not name you as a client or publish case studies about your engagement without your written permission. All third parties we work with are bound by contract to strict data protection standards.

Aidoptiv uses cookies to improve navigation, understand user behaviour, store preferences, and enhance user experience.

• Essential cookies keep the website and client dashboard working securely. These cannot be switched off.
• Analytics cookies help us understand how the site is used. Where required, we ask for your consent before setting them.

You can disable or delete cookies in your browser settings at any time. Some features of the dashboard may not work without essential cookies.

Depending on your location, you may request to:

• Access the data we store
• Update or correct your information
• Delete your account and associated data
• Receive a copy of your data in a portable format
• Object to or restrict certain processing
• Withdraw consent at any time, where we rely on it
• Opt out of non-essential communications

To make a request, contact us at privacy@aidoptiv.com. We may need to verify your identity first, and we aim to respond within 30 days. If you are unhappy with how we have handled your data, you can also complain to your local data protection authority, which in the UAE is the UAE Data Office.

If you are an employee of one of our clients, please direct requests about engagement data to your employer in the first instance. We will support them in responding.

• Project data: retained for the duration of your engagement plus 12 months, unless you request earlier deletion
• Dashboard account data: duration of business relationship plus 6 months
• Contact form submissions: 12 months
• Financial records: kept for as long as UAE law requires

At the end of each period, data is securely deleted or anonymised.

Aidoptiv is based in the UAE. Your data may be processed using cloud services hosted in various locations. Where data is transferred outside the UAE or your home country, we use appropriate safeguards, such as contractual protections and providers in jurisdictions with adequate data protection laws.

Our website and content may link to external sites, such as LinkedIn or YouTube. We are not responsible for the privacy practices of those sites and recommend reading their policies.

Our services are intended for businesses and are not directed at anyone under 18. We do not knowingly collect personal data from children.

We may update this policy from time to time. Changes will be posted on this page with an updated revision date, and we will notify clients directly of any significant changes. Continued use of our services after changes indicates acceptance.
